Quotation and Order Specifications

Effective 1st July 2023

By placing an order with WT Sports and Recognition Pty Ltd you are agreeing to accept and abide by the following terms and conditions.

Artwork

Artwork and Proofing

Whilst all care will be taken in preparation of your artwork, it is the responsibility of the client to ensure that it is complete and correct. Responsibility for any errors still existing after the final approval remains with the client.

Our art department consists of qualified Graphics Artists with a good sense of contemporary design. They create unique awards that will inspire, motivate, and make your team feel truly valued. We provide graphic typesetting as part of our service to you. You can also provide your own artwork. Please see the section below regarding supplied artwork and which files are best to upload.

What type of files can I upload online?

Preferred format is EPS, AI, CDR, or PDF files, preferably in Vector file format. (Common types of vector graphics include Adobe Illustrator (AI), CorelDraw files, and EPS files).

Other files such as JPG, BMP, or TIF are also accepted but may not provide you with as good reproduction and may lead to additional art charges. Low-resolution images such as web images, business cards, or clothing embroidery images will be of very poor quality and are likely to result in additional charges to re-draw. A redraw fee is charged at $50 + GST.

How should I provide names and detail?

We prefer this information to be sent to us in Excel or Word format to directly import the information into your art proof. These files can be uploaded at the time of check-out or inquiry, or you can email them later. If you do send them later, please tell us when we can expect them so we can schedule it in.

How can I email my personalisation details rather than entering them online if my order is large?

Our online entry system is straightforward and our preferred method to ensure optimal accuracy in the design phase. It includes both spelling and grammar checks and, in most cases, lets you preview your awards.

We appreciate that larger orders can be complex. If your order is greater than 5 lines, when you reach the PERSONALISE YOUR TROPHIES page during checkout, you can choose the EMAIL option. Our preferred document types are:

  • Excel spreadsheet (.xls) (.xlsx)
  • Word document (.doc) (.docx)

Please set out the document in an easy-to-read format so we can determine your requirements.

Will I get to approve the artwork before production?

If you are purchasing from our range of corporate awards, custom awards, trophy cups, honour boards, etc., we will email you a full-scale artwork proof within one business day.

For all other basic awards, such as sports trophies and medals, you will style these yourself using our styling editor during the checkout process. Responsibility is up to the user to enter all details correctly (e.g., names, dates, etc.).

What happens if you cancel and no longer proceed with an order after the artwork design proof is prepared and emailed for approval?

If you decide to cancel and not proceed with an order after the artwork design proof has been prepared and emailed for approval, a cancellation fee of $150 + GST will be applicable.

What is the cut-off for changes to be requested for artwork design and proofs so they can be updated and received the same day?

The cut-off time for requesting changes to artwork design proofs to ensure same-day updates is 3:30 pm (Sydney time, UTC+10).

What types of personalisation do you use?

We use different processes depending on which one has the best effect on a particular product. These include:

  • Laser Engraving: A laser is used to etch your design either directly into the surface of your award or on an engraving plate attached to your award.
  • UV Printing: A process where UV curable inks are laid directly onto the surface of the award and cured by a UV light for a bright, durable finish.
  • Rotary/Diamond Drag Engraving: A spindle-driven tool cuts into the surface of the material to carve a groove or character into the surface.
  • Colour Sublimation: A process where sublimation inks are printed onto specialty paper and heat transferred to an aluminium plate.

Backorders

Backorders can be added to your next order or sent when goods arrive. If required immediately, normal freight will apply.

Shipping and Returns

Delivery Lead Times

Our lead times for standard products are 10 to 14 working days from receipt of order and client approval of finished artwork. Fast Track / Priority Service is available on request with a surcharge of 40 to 60%.

For custom products, lead times will be advised at the time of order.

Return Policy

We do not accept returns of any type after 30 days from the initial sale. Returns must be in original condition with no personalisation. Custom items cannot be returned.

Refunds

Refunds will be processed once the return is inspected. Processing times may vary depending on your bank or credit card company.

Payment

Payment methods accepted: Direct Deposit, Cheque, Cash, EFTPOS, or Credit Card (1.7% fee for Visa, MasterCard, Amex). Bank details will be provided upon request.

Pricing

Prices are based on finished products, including engraving or printing. Prices may vary based on the information provided.

Production

Production time is normally 10 to 14 working days from the approval of signed artwork, subject to product availability.

Samples

Samples are provided at full item price and must be paid for before delivery. Refunds are offered upon the return of items in original condition.
